Overview

The Welcoming Committee is a staff position under the Department of Membership and is responsible for helping new members adjust to TarValon.Net. The duties of the committee include welcoming new members, answering questions new members may have about the community, including on Tower Bylaws or Member Manuals, and moderating the Introductions forum.

Rotation: 6 month rotation

Merit Eligibility: Staff Merit

Chain of Command

The Welcoming Committee reports directly to the Mayor.

Duties and Responsibilities

  • Welcoming new members, answering their questions, and generally being available for them.
  • Help with special activities and Feast Day events, for example altering avatars.
Greeters
  • Are primarily responsible for greeting visitors and returning members in the Introduction Forum.
  • They will post in each new thread in that forum and post a visitor message on the new user's profile.
  • Responsible for reporting back when a person is greeted by posting in a thread. As a stretch goal, members in this position will help double-check requirements these members need to meet to become a full member, and will record data in a Google Drive document (like an Excel Spreadsheet).
Scribe
  • The Scribe will maintain the overall Google Drive spreadsheet of the active visitors and track their credentials toward becoming a citizen as they move through the process.
  • Assist with keeping the first post of project threads in the Welcoming Committee forum up-to-date. S/he will have mod powers to add to-do lists, summarize and post minutes, and edit the mayor's posts (and others if applicable).
City Architects
  • Assist by either running their own project or assisting with the projects of the mayor, by planning, executing, publicizing, and keeping records of events in City Hall for citizens and other frequenters of the forum (it depends on how ambitious you are).

Expectations

  • Must have a good knowledge of the Membership Manual, our Bylaws, and how our community generally works, specifically pertaining to Citizens.
  • Must know where to find answers to questions that new members may have.
  • Must have a love and excitement for helping our newest members find their way around TarValon.Net.

Time Commitment

  • Spend approximately 5-10 hours a week.

Qualifications

  • May be of any rank.
  • Must have been a member in good standing for three months.

History

The Welcoming Committee was formed after Saminda Sedai stepped down and the position of New Member Services Coordinator was discontinued. In January 2015, the roles were changed to give specific functions of Greeter, Scribe and Renaissance man/woman (later renamed as City Architect) and increased from a maximum of 4 members to 5. The Friendly Face Team operates as a volunteer portion of the Welcoming Committee.
