State of the Tower: Amyrlin/CEO Welcome

TarValon.Net had a bit of a quieter year in 2018. We did not have huge changes, but we kept plugging away at what we have been doing, and making improvements where we could. New leaders stepped into a few Director positions.

For Anni, we went to an altogether new location for the Tower: Idaho. Lireina Dormerus t'al`Bearach found a former college for rent, and we invaded the small town. Somehow, Jeffan managed to rope me into his glitter shenanigans, and there was glitter everywhere. Everywhere. Despite me coming out in a poncho and double umbrellas, I had glitter everywhere. I guess I was happy to do it, if the community was willing to donate money to see it.

Once again, it was my honor to award the Amyrlin Awards this year. Wil Cambrae was awarded the Philanthropist of the Year. Over his many years of membership, Wil has been very generous with his time, money, and service. The Unsung Servant award went to Elanda Tonil; she does so much work behind the scenes in the White Ajah, and I wanted the membership to know how hard she works. Volunteer of the Year was Jeffan Caliarthan, for his work with the social media team, his work as Entertainment Committee Head at two Annis in a row, and his glitter shenanigans fundraiser. Finally, Kelgan al'Moranwin was Member of the Year, for his dedicated service as Director of Moderators and Operators.

In the upcoming year, I want to fine tune some of our processes, and be sure everything is running as smoothly as possible. I want to continue interacting with each group as much as I can, so I have a reminder of why I continue to serve as Amyrlin.

Statement from the Board of Directors

This was a calm year for our Board of Directors and the management structure of the organization. Joe Pistritto served as Chairman through 2018. Other members of the Board include Jim Beattie, Crystal Dumonceaux, Amanda Keen, and our first Amyrlin, Melissa Craib Dombrowski. Our annual Board Meeting occurred at Anni in Gooding, Idaho. On the Officer front, this has been a very stable year for TV.Net. All of our Officers completed the full year serving in their respective roles. We thank all of them for their service. We look forward to 2019 and all it will bring for TarValon.Net and its members.

Keeper/COO

The Keeper of the Chronicles (COO) reports to the Amyrlin Seat (CEO) and manages the site's day to day operations through the Executive team, comprised of the site's department Directors. (with the exception of the Director of Research and Records, who reports to the Archivist)

2018 continued to follow the trends of the prior year, with changes in the Executive leadership, as well as continued expansion of our interactions with the greater WoT community through social media and JordanCon.

Looking Forward to 2019

There is definitely some renewed activity and excitement in the community coming into 2019 with the Wheel of Time television series in full swing development-wise. Along with this, we continue to work on best practices to encourage both new membership and engagement of existing membership to make involvement in the site and community a fun and rewarding experience for everyone that visits us, either online or at live events.

The Tower Archivist is responsible for maintaining TarValon.Net's records.

Staffing Changes

The Director of Research and Records, Kerna Shedrian, stepped down and was replaced by Tallan Daar.

Annual Overview

We awarded Merits on three occasions, and ran the Members' Choice Awards. I also did the Archivist manual - an outline of the tasks for the Archivist, with approximate date. The annual report was released, although later than we would like as was the Membership Survey.

Looking Forward to 2019

  1. Keep Merits on a quarterly schedule
  2. Finish updating the Membership Manual - work with the Department Directors for this
  3. Complete Membership Survey and Annual Report on time
  4. Release a bonding survey to better understand the attitudes of the membership of TarValon.Net to the Bond

Shatayan/CFO

The Shatayan is responsible for maintaining TarValon.Net's finances and accounts.

Annual Overview

The year 2018 saw an overall financial gain of approximately $5,000. This overall gain was due in large part to the glitter fundraiser held prior to Anni and having successful events which brought in enough money to cover both the expenses for the event and the fundraising donations. Overall financially, the Tower remains stable with sufficient capability to meet all financial commitments with the capability to pay for additional desired items.

The 2019 budget was reviewed and approved at the Fall Admin Meeting with minimal changes from 2018. The only significant changes were additional allocation of funds for one time marketing expenses to increase our marketing ability at JordanCon.

Looking Forward to 2019

Looking forward into calendar year 2019, I expect this to be a quiet year, filled only with normal monthly reporting and assisting the departments with their financial needs.

Philanthropic Outreach Activities

Real Life Events
  • North American Anni 2018 - In 2018, a new free week was created as a site reward for the fundraiser. Prizes were given to donors - each prize different - according to the amount donated. The funds were raised before the 2018 Anni Party, where some of the prizes were given out - including special participations in the main events. In total, we raised $3,140.
  • Britain & Ireland Party 2018 - This year at EuroParty, supplies were donated to a local animal shelter. We collected 20 kg of dog food, 400 g of dried pig ears, 1 kg dog treats, approximately 3.8 kg cat food, 120 g of rabbit/guinea pig/chinchilla herbs.
  • Fall Ball 2018 - This year, we gave to Behind the Book at Fall Ball. Behind the Book is a local charity that helps bring funds to reading programs in New York City public schools. We donated $105 in cash at the event, and $120 in online donations directly to the charity's website, for a total of $225.

Department of Events and Conferences

The Department of Events and Conferences oversees and organizes all our official real life events.

Staffing Changes

2018 was a good year for the department, with one staff change: Reniel Killan stepped down as MoR - Europe, and Aduiavas Ida was selected to replace her. We thank Reniel for her years of dedication to European events, and best of luck to Aduiavas as she takes on this new position.

Annual Overview

Anniversary Party

Our first event of the year took us all the way to Gooding, Idaho- the first time we have visited this lovely state of potatoes! Our lodgings for the weekend were at the Gooding University Inn and Resort. We had 40 members attend a wonderful weekend from March 16 - 19, 2018. Jeffan Sedai and Mother's pop-up Glitter fundraiser packed quite a wallop, as over $3000 was raised! Because of the overwhelming success of that fundraiser, we were able to donate $1500 to Ronald McDonald Charities of Idaho as well as food, pop tabs and sundries. The weather was a bit spotty at times, but everyone had a great time socializing.

JordanCon

JordanCon was held in Atlanta, Georgia, during the weekend of April 22 - 24, 2018. It was attended by over 50 members from our site this year, visiting the many vendors and fans from across the WoT universe. Our marketing team continued to have a table to market our site to prospective members.

Fall Ball

Fall Ball was held in Sleepy Hollow, New York, from October 26 - 28, 2018. 29 members took part in visiting one of the most storied venues in North America. Spring Hill Suites of Tarrytown in Tarrytown, New York was our headquarters for the weekend. Members ventured to Sleepy Hollow to explore haunted houses, run in races, and enjoy the Halloween ambiance. Our charity for this event was Behind the Book - Exploring Stories, Empowering Voices, with members donating money to help bring authors and their books to inner city schools.

EuroParty

EuroParty was held in lovely Schmitten, Germany, from September 21 - 23, 2018 at Homburger Haus. 12 members attended the event, which included a visit to a German castle and various other games. Our charity of choice was Tierheim Hochtaunus which was the local animal shelter.

Looking Forward to 2019

The Events team has another fun-filled set of events in the works for 2019. Anniversary Party will be held in Ariel, Washington, from March 22 - 25, 2019. Fall Ball will be held in Texas in the Fall. EuroParty will be held in Belgrade, Serbia, also in the Fall. Our Mistresses of Revels continue to work to bring affordable, fun events to our membership. The Department of Events and Conferences welcomes all member input regarding our events. If you have any questions, concerns or feedback, please feel free to email anyone on the Events team. We would love to come and visit you in your neck of the woods!

Department of Marketing

The Department of Marketing's purpose is to advertise TarValon.Net to non-members. It is also responsible for coming up with an overall marketing plan for how to go about attracting new members to the website, regardless of whether or not they would like to join our forum community. The Department of Marketing is focused on building TarValon.Net as a recognizable, big name brand in the Wheel of Time fandom.

Staffing Changes

The Department of Marketing featured a change in Director, from Jaryd Kosari to Jeffan Caliarthan, the previous Social Marketing Manager. Bruce al'Kay took over as Social Marketing Manager.

Annual Overview

The Department had two main goals in 2018:

  • Come up with an overall marketing plan for the community. Jeffan Caliarthan worked with the Board of Directors, Officers, and other Executives to form a marketing plan

for the organization as a whole. This eventually became The Four Pillars of TarValon.Net, which were announced with the Fall 2018 Executive Meeting Minutes. They are:

    1. Our Online Community: Through forums, IRC, Discord, and social media, we have a defined online presence with a strong community structure based on the novels.
    2. Our Real Life Community: With members all over the world, we hold three official events annually, and we have a strong presence at JordanCon. Members also organize dozens of local events around the world every year.
    3. Our Library: We have a dedicated Wiki library filled with information about the series that is constantly being updated. Our library was referenced by Team Jordan while completing the series.
    4. Our Philanthropy: We sponsor the annual Robert Jordan Memorial Scholarship and donate to many causes throughout the year. We do everything that we can to embody the Servant of All aspect of the Aes Sedai represented in the novels.

These four pillars will be used to guide all further marketing of the organization to outside members, and will also assist give the organization a framework to work from in our day-to-day decision making.

  • Convert the Tar Valon Times into a blog, allowing all previous articles to be viewed in an archive instead of having to be transferred to the Library every month. Progress

was made on this project, but it did not fully come to fruition in 2018. (It was later released on February 20, 2019.)

Tar Valon Times

The Tar Valon Times has struggled to keep up with content in 2018. Approximately 101 articles were written and published in 2018, which averages about 8.5 articles per month. The blog was due to be introduced by the end of 2018, but was delayed. All of the Reporters were notified of this in November, and we saw a dramatic decrease of articles in the last two issues of the year. The team was also notified that going forward, we would want to focus more on content about The Wheel of Time and, to a lesser extent, TarValon.Net, and shy away from more "Slice of Life" articles about things that happen in the day-to-day of a member's life.

Graphic Development Team

The Graphics Development Team was stagnant for 2018. Efforts were made in the latter half of the year to get a private forum within the Department of Marketing created to serve as a request forum for official TarValon.Net graphics, but this was delayed. Ariadne Davion stepped in and contributed to the Graphic Development Team, even though she was not officially a member. She designed the 2018 Fall Ball Logo, as well as a standing banner to be used at JordanCon 2019.

TarValon.Net Shop: CafePress and Zazzle

The TarValon.Net CafePress Shop was relatively inactive this year. 17 purchases were made in total - four administrative, which came out of the operating budget, and 13 by members or guests. In total, $14.97 in revenue was generated.

Discussions took place to see if using Cafepress is something that we want to continue doing. A few alternatives were explored, but nothing was decided.

Social Marketing

The Social Marketing Team focused on building our brand on social media by gaining followers on Twitter, Facebook, Instagram, Pinterest, and Tumblr. Overall, this was very successful, as illustrated by the following numbers:

  • Facebook gained 2,111 followers, taking us up from 2,322 to 4,433. On average, our posts reached 3,912 people.
    • Our most far-reaching post was the wrap-up article of Rafe Judkins' Twitter Q&A in September, which reached 29,904 people.
    • Two posts were promoted, but we saw very little additional reach from these, so we will most likely not be further promoting individual posts on Facebook.
  • Twitter gained approximately 676 followers, taking us up from 2,626 to 3,302.
    • Twitter had 246,512 impressions (how many times our tweets showed up on someone's timeline). 98% of these impressions happened in the last half of the year when Eluial Aldaran took over the platform.
  • Instagram gained approximately 245 followers, taking us up from 384 to 629.
  • Pinterest was retired as we had no one to run it, although it was a very successful platform, averaging 17,000 monthly viewers.
  • Tumblr was also retired as we had no one to run it, and we decided that it was a sub-optimal platform for us to gain members from.

Looking Forward to 2019

In 2019, the Department of Marketing hopes to accomplish the following goals:

  1. Transition the Tar Valon Times into a blog with a focus on articles about The Wheel of Time and TarValon.Net. "Slice of Life" articles will be moved to the forums, but will still

go through the formal editing process.

  1. Run a successful marketing campaign at JordanCon 2019. We plan to have a large standing banner with The Four Pillars advertised on it, as well as various swag, including buttons and bookmarks for giveaways, as well as enamel pins for sale.
  2. Run a successful marketing campaign on social media across our three main platforms: Facebook, Twitter, and Instagram. We hope to increase our followers by an additional 25% on all platforms.
  3. Hire more people to write WoT/TarValon.Net-centered articles for the Tar Valon Times, and hire more people to handle platforms on the Social Media Team.
  4. Work with the Department of Research and Records to revitalize the book discussion forums.
  5. See an increase of 5-10% in active members on TarValon.Net.

Director of Marketing

Department of Membership

The Department of Membership is responsible for fostering a sense of community within TarValon.Net. It is involved with the administrative tasks that relate to the membership, and attempts to create a bridge between individual groups and the site at large.

Staffing Changes

Membership Staff serve in set terms, so most positions saw turn-over as expected.

See Appendix F for the complete staff for 2018.

Annual Overview

Second Demotion eligibility was changed. Members are now required to be in the group for a minimum of two years, rather than the previous requirement of three. They must also have at least three consistent months of activity on return from a Leave of Absence to try to reintegrate with the group. This change occurred because it was deemed unfair if the members are trying to be active in forums they feel uncomfortable in.

The Junior Membership Team is working on an unofficial mentor program for those who have newly demoted, being paired up with those who have been a demotee for a while, or who have demoted a second time.

It was also decided that an inactive member shall also be considered un-Aspired from a group. On return, the Tier Two member would get three options- 1) Start over as a citizen (if they have missed more than two clean-ups, this is strongly suggested), 2) Return at current rank to continue guesting, or 3) Re-Aspire to the group they were with previously.

Tar Valon Citizens

Applications came in at an average rate of between two and three a month. 31 new citizens in total; February and August being much higher than others.

White Tower Members

13 applied to the Tower this year, and nine to Accepted and Soldiers. 15 members were raised to Senior Member status.

Six people demoted, and one retired.

Looking Forward to 2019

We will be looking at restructuring and strengthening the mentor scheme, as many people expressed concern that mentors were not reaching out, or that communication was lacking.

We will be looking again at how the citizen mentor program can be absorbed into the Welcoming Committee, as it feels better placed as part of an existing structure.

Department of Moderators and Operators

The Department of Moderators and Operators oversees the moderation of the message boards and chat rooms.

Kelgan al'Moranwin has stepped down as the Director of Moderators and Operators as of March 17, 2018. The position has been taken up by Asandra al'Terra as of that same date.

Department of Research and Records

The Department of Research and Records oversees the Tower Library and the Tower Histories. It is responsible for handling the research needs of our community to make us one of the top go-to websites for Wheel of Time research, as well as recording all aspects of our community, its organization, and activities.

Staffing Changes

The Department has undergone personnel changes in all levels during 2018. In September, Kerna Shedrian stepped down as Department Director after serving in the role since 2015. She was replaced by Tallan Daar. A month before that, Elanda Tonil took over the position as Survey Project Manager previously held by Cahalan Sothron. New Historians were hired as well, with Eniara Kisharad being replaced by Imzadi Hopewind as Events Historian, and Nyavene al'Meer by Elia LePhant as Tower Historian.

Annual Overview

Seven classes were started during the year, including two Citizen's Classes (one in April and one in October). Four of them completed their run during the year.

The Annual Report for 2017 was released in PDF format in August. The wiki format of the report is still under construction.

A membership survey ran November 8 - 28, collecting 139 responses. The theme was Battle of the Bands: Second Age music vs. Third Age music, a duel from which Second Age music emerged victorious. The survey results will be published in the Library as soon as they are available.

Looking Forward to 2019

Our goals for 2019 are
  • Getting the Annual Report finished and completed earlier than in 2018.
  • Reorganizing the Tar Valon Times-related pages in the Library
  • Updating avatar sizes in the Library
  • Finishing the Companion updates
  • Finishing the remaining AMoL character updates
  • Adding chapter icon images to all chapter summaries
  • Encourage more contributors to the Library, expanding content whether book, site, or community group related

Annual Overview

In 2018, we set up a development blog to prepare for the new blog system. We also set up the infrastructure for a test environment.

Looking Forward to 2019

Our goals are to
  1. Get the new blog system into production
  2. Get ticketing system to manage departmental responsibilities and delegation
  3. Build a dev version of the site
